Six steps, the same every time

You see the planbefore anything gets built.

No surprises, no black box. You sign off the map first, and you always know where your build is up to.

Four to six weeks

From the first mapping session to handover, for most builds.

Nothing touches live

Everything is built in a sandbox until you have signed it off.

You own it at the end

Your portal, your accounts, documented. There is no lock-in.

The build

Six steps, start to handover.

Three of them end with you signing something off. Nothing moves until you do.

01

Map it in plain English

We write down how the business actually runs today — not how the software thinks it should. Every step, every hand-off, in words your team would use.

Clean the data

Contacts, companies and jobs deduplicated and validated before anything is built on top of them. Two customer lists with the same people in both is the normal starting point, not the exception.

Connect the tools

Every system that holds a piece of the job gets wired to one place, and we agree which tool owns which field before a single connection is made.

Build and automate

Test against real jobs

We take your own recent work and run it through the build in front of you. Pass or fail, in writing, before anything goes live.

How long it takes

Four to six weeks,
and you know the sequence.

You will know the order up front, because the plan is agreed before anything is built.

Week 1

Map and sign off

Walkthrough sessions, then the map comes back for your approval.

Week 2

Data and connections

Deduplicate, validate, and agree which tool owns which field.

Weeks 3–4

Build in the sandbox

Pipelines, properties and follow-up, off to one side.

Weeks 5–6

Test, then hand over

Your real jobs run through it, you sign, it goes live documented.

Your side of it

What we need
from you.

Not much, and almost all of it in the first two weeks. After that you get your time back.

  • Two or three hours in week one for the walkthrough. Whoever actually does the work, not just whoever manages it.
  • Logins to the tools you already pay for, or an admin who can grant them.
  • A handful of recent jobs to test against, good ones and messy ones.
  • One person who can say yes. Three sign-offs need a decision, not a committee.

Questions

About the process.

The things people ask before they start.

Do I own what you build?

The HubSpot work, yes. It is built in your own portal, under your own accounts, and documented so your team can run it without us. Speed to Lead is different — it is a service that runs on our system, so it answers your enquiries for as long as you subscribe and stops when that stops. No fixed term, no exit fee, and anything we built inside your own portal stays yours either way.

How long does a build take?

Most builds run four to six weeks from the first mapping session to handover. You will know the sequence up front, because we agree the plan before anything is built.

What if we already have a system nobody uses?

That is the most common thing we see. We map what is there, switch off what should not be running, fix what is broken, and hand it back to a standard your team can actually follow.

What happens if something breaks after handover?

The runbook covers who owns what and what to do first. Most teams run it themselves from there. If you would rather we kept an eye on it, say so and we will price that separately rather than bundling it into the build.

Start with the map.

Half an hour, no obligation. You leave knowing what is broken, roughly what it takes to fix and what it costs.
